Minutes of Inaugural Meeting

07/07/01 Attendance.

Over 30 boat owners attended our first meeting and we have listed 66 people interested in joining the club although some attendees failed to leave their contact details.


07/07/02 Introductions.

Roger Lee and Richard Lee (no relation) introduced themselves and outlined the proposed aims and objectives of the club

To present a unified voice to Marina Management.
Communicate news on topical and relevant events.
To organise sailing, cruising and social events.
To obtain group discounts on supplies and services.
 

07/07/03 Club Name.

Roger Lee explained that the alternative title of Deganwy Quay Berth Holders Association better described a more ponderous legal entity which the initiators wished to avoid in order to maintain a simpler format directed towards owners needs. The meeting generally approved this policy so Paul Kent agreed to open a website under the title” www.deganwyquayboc.org”

Roger Morgan has offered to translate the website into Welsh.

07/07/04 Appointment Of Comittee

Since there were no other nominations, Roger Lee agreed to act as Chairman for the time being.

Richard Lee agreed to act as Vice Chairman, Simon Harrison as Treasurer, David Massey, Chris Wignall and Tony Williams would make up the six-strong committee.

07/07/05 Constitution

The committee will draft a simplified constitution but it would be helpful if any member with legal knowledge could assist us with this. A club bank account will be opened, insurance indemnity cover arranged and the committee will meet bi-monthly or as required.

07/07/06 Current Issues

We need to ask the Marina Management to clarify and respond to a number of concerns:

Marina berthing charges and future charging policy. Also discounts if boats on hard-standing
Security for boats and parking – third party indemnity insurance policy not displayed in office
Metered electricity charges, increments and increases to be notified to members
24/7 VHF response – currently not always available
Parking adequacy and definition between Marina and Hotel parking areas
Silting and dredging policy, particularly concerning reducing depth at fuelling pontoon
Consequences of Marina draining – suggested request free lift-out, inspection and sling wash
Better communication and questions over Marina staff experience and qualifications
Rats seen around litter bins.

07/07/07 News and Information

News and notification of social and other events will be periodically sent to all member by e-mail and posted on the website. For those without access to electronic data links, please call any member of the committee.

07/07/08 Affiliation Policy

Conwy Marina suggested an affiliation or sub-group of their berth-holders association but since their main problem is silting and we have separate concerns. Similarly the Royal Yacht Association (RYA) suggested a berth-holders association based on their constitution costing us £80pa and for reasons outlined in 07/07/03 is inappropriate. Paul Kent will arrange links on the website to these organisations and to Conwy Yacht Club.

07/07/09 Members Discounts

The following is a list of organisations that we have, or intend to approach to arrange discounts for card carrying DQBOC members:

Fuel – Richard Lee wrote to Mr Duncan Ashcroft on 28 June regarding a fuel discount but to date has not received a reply. Conwy Marina offer a 5% discount to association members but Conwy Quay which is limited to tidal 9-5 access, offers nothing

Chandlery – Barry Lovell’s TLC and Dickies of Bangor are to be approached

Richards Restaurant in Llandudno has offered 5% discount. (Owner, Don Hadwin is a DQBOC member)

Marina services such as sling washing and hard-standing

Boat and engine dealers

Special rates for Quay hotel and spa, particularly weekend rates for non locals.

07/07/10 Social

When the club is up and running we intend to consider the following social activities:

Organised cruises to new and members favourite venues
Sailing and yacht racing – possibly in association with Conwy Yacht Club
Boat exchanges – for cruisers to obtain sailing experience and vice versa        
Dining and/or dances and/or cabarets – probably at the new Quay hotel

07/07/11 Costs

The meeting agreed an annual membership fee of £20 per boat owner to cover initial set up costs for the website, cost of the meeting room, membership cards and correspondence costs. Accounts will be audited and distributed to members.

07/07/12 Any Other Business

It is hoped that the venue for future meetings will be at the Quay Hotel subject to cost. Alternatively the Deganwy Castle Hotel charges £70 for the room we occupied and £30 for a smaller room. It was agreed to hold monthly meetings at 8pm on the first Friday of each month and an agenda will be e-mailed to all members prior to the date.

The meeting concluded just before 10pm.
